Terms of Service
Last updated: 20 April 2026These terms govern your use of callbot.co.uk and the AI call-handling service we provide. By signing up for a free demo, paid subscription, or otherwise using the service, you agree to these terms. If anything is unclear, email info@callbot.co.uk before signing up.
1. The service
Callbot is an AI-powered call-handling service for UK businesses. Subject to your subscription, we configure an AI assistant trained on your business that:
- Answers your inbound calls 24/7 and routes, books or transfers as instructed
- Optionally makes outbound calls (qualifying leads, follow-ups, appointment confirmation)
- Books appointments into your calendar and sends SMS / email confirmations
- Provides transcripts, recordings and a dashboard to review every call
2. Your account
- You must provide accurate information during signup, including company name, billing details and the phone number(s) you want us to handle.
- You must be 18 or older and have authority to bind your business to these terms.
- You are responsible for keeping account credentials secure.
- One account per business — please do not share accounts with unrelated third parties.
3. Subscription, free demo & billing
- Plans are monthly subscriptions. Prices and inclusions are shown on the pricing page and confirmed in writing on your discovery call.
- Setup is included; no separate setup fee unless quoted in writing.
- Most accounts are live within 48 hours of the discovery call.
- Billing runs monthly via Stripe. We do not store full card numbers ourselves.
- Plans are month-to-month with no minimum term. You can cancel any time from the billing settings; cancellation stops the next renewal and you keep access until the end of the current paid period.
- Outbound campaigns may incur additional usage charges (per-minute call costs, SMS) which are itemised on your monthly invoice.
4. Refunds
Because the service uses paid third-party APIs (telephony, AI voice, SMS) on your behalf as soon as it goes live, refunds are limited. Monthly: prorated refund within 7 days of the initial charge. After that, no refunds for the current month, but you can cancel future billing. Edge cases — email info@callbot.co.uk.
5. Acceptable use
You may not use Callbot to:
- Make calls or send messages that breach the Privacy and Electronic Communications Regulations (PECR), TPS / CTPS rules, or any UK / EU consumer-protection law.
- Run unsolicited cold-call campaigns to numbers on the Telephone Preference Service.
- Impersonate another business or person, or use a misleading caller-ID.
- Conduct illegal, fraudulent, defamatory, harassing or otherwise harmful activity.
- Reverse-engineer, scrape, resell or sublicense the service without written consent.
Breach of acceptable use may result in account suspension without refund and, where relevant, reporting to the appropriate authority.
6. Recordings & transcripts
Calls handled by Callbot are typically recorded and transcribed. You are responsible for ensuring callers are informed (a short opening line covers this — we provide standard wording). Recordings and transcripts are stored under your account's retention policy (default 90 days; configurable) and visible only to your authorised users and our support team.
7. Service availability
We aim for 99.5% uptime measured monthly. Scheduled maintenance and third-party outages (telephony providers, AI model providers) may temporarily affect operation; we will notify you in advance where possible. For Pro and Enterprise plans, uptime is backed by an SLA detailed in your service order.
8. Intellectual property
The Callbot platform, software, voice models, branding and documentation remain the property of Callbot. Your business data — call recordings, transcripts, lead data, contact lists you upload — remain yours; we hold a non-exclusive licence to use them only to deliver the service. We do not use your call data to train shared AI models.
9. Limitation of liability
To the extent permitted by law, our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect or consequential losses (e.g. lost business from a missed call, lost revenue from a mishandled enquiry, or third-party telephony outages).
Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
10. Termination
You may terminate at any time by cancelling your subscription in your dashboard or by emailing info@callbot.co.uk. We may terminate immediately for breach of acceptable use, non-payment, or where we are required to do so by law.
11. Changes to these terms
We may update these terms occasionally. Material changes will be notified by email at least 14 days before they take effect. Continued use after that date constitutes acceptance.
12. Governing law & jurisdiction
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
